IDS/DEPARTMENT
CHAIR DUTIES
The IDS provides an array of services to Department Chair and
faculty. Your relationship with your IDS may be one of the most valuable you
enjoy during your service as chair. Spend time getting to know your IDS, their
strengths, their philosophy of their role and how you can best collaborate for
the success of your department.
1. The IDS assists
with schedule development and preparation of teaching assignments (TA):
- The IDS prints
and prepares the rollover (schedule) for department chair/director. This is
done approximately six months prior to the start of the term.
- The department
chair/director will review the rollover (schedule) and make any changes in
class sections, such as times, dates, rooms, and any additions or deletions.
The department chair/director will assign full-time and part-time faculty
to the class sections and inform the IDS of any reassigned time or stipends.
The IDS should not be responsible for assigning classes. However, the chair
may ask the IDS to call an instructor to see if they are available. This can
be done on the copy of the rollover or done by filling out a tentative teaching
assignment form. The tentative form is preferred because it will list the
instructor’s name, class sections, total FTE, reassigned time and stipends.
Having all this information listed on one form makes it easier to control.
My recommendation is for the IDS and department chair to do this process together.

- The room charts
are usually completed by the IDS and given to Academic Affairs. This depends
on each campus. However, Resource 25 will replace the room charts in the Fall
of 2005.
d. The IDS will then enter, print, and prepare the teaching assignments. She
will forward the TA’s to the department chair to review and sign and
then forwarded to academic affairs and payroll.
2. The IDS will
also be responsible for preparing the book orders and sending
to the bookstore.
3. The IDS monitors
the budget for the department. Prepares requisitions
and forwards to budget control with approval of department chair.
